This guide explains what happens from a student or educator’s perspective. It applies whether Exam Insights manages your setup or your school uses Manage School. Understanding the user experience helps you answer questions and set expectations during rollout.

Existing accounts

Many students and educators already have free Exam Insights accounts before your school purchases a licence.
  • Existing accounts are recognised — if someone already has an Exam Insights account with the email address on your list, they are linked to your school
  • No duplicate accounts — the same person will never have two accounts
  • Users simply sign in — existing users sign in with their current credentials
  • New users create an account — if someone does not yet have an account, they sign up at exam-insights.com using their school email

Sign-in methods

We recommend schools encourage users to sign in with Microsoft Single Sign-On (SSO), especially where your school uses Microsoft 365. Supported sign-in methods:
  • Microsoft — recommended for schools using Microsoft 365
  • Google — for schools using Google Workspace
  • Email and password — available for all users
Users should sign in with the same school email address used for their licence.

Student experience

After a student has been granted a licence:

Create an account or sign in

New students sign up at exam-insights.com using their school email. Existing students sign in with their current account.

Choose subjects

During setup (or in Account Settings), the student selects the QCAA subjects they are studying.

Start using the platform

With a granted licence, the student has full access to upgraded features for their chosen subjects.
Students can update their subjects at any time in Account Settings.

Educator experience

Educators follow the same process as students:

Create an account or sign in

New educators sign up at exam-insights.com using their school email. Existing educators sign in with their current account.

Choose teaching subjects

During setup, the educator selects the subjects they teach.

Start using the platform

With a granted licence, the educator has full access to upgraded features for their teaching subjects.
Educators can update their subjects at any time in Account Settings.

Choosing subjects

Students and educators choose their own subjects. Schools never need to:
  • Create classes
  • Assign classes
  • Allocate subjects to users
Each user selects the subjects relevant to them during account setup. They can add or remove subjects later in Account Settings at any time.
If a student changes subjects mid-year, they can update their selection in Account Settings without administrator involvement.

Notifications

Granting a licence does not notify users. Exam Insights does not send emails when a licence is assigned.
Your school decides when and how to inform students and educators that they have access. Common approaches include:
  • Announcing access in class or assembly
  • Sending a school email with sign-in instructions
  • Including Exam Insights in your school’s learning platform or intranet

Role differences

Students, educators, and administrators have access to different features: Questions — browse and filter past QCAA external exam questions Insights — analytics and data visualisations for syllabus coverage and question trends Performance — personal progress tracking (students only) Manage School — administrator portal for user and licence management (self-managed schools only)

Sharing sign-in instructions

When you are ready to roll out access, share these steps with students and educators:
  1. Go to exam-insights.com
  2. Sign in with your school email (Microsoft, Google, or email and password)
  3. Select your subjects during setup
  4. Start exploring Exam Insights
