Licence management is the core of Manage School. This guide covers granting and removing licences, understanding licence status, and planning when to allocate access.

Granting licences

A licence must be granted before a user can access upgraded Exam Insights features. Adding a user to Manage School does not grant access automatically. Individual grant To grant a licence to one user:

Find the user

Locate the student or educator in Manage School.

Grant licence

Select the user and grant a licence. The licence is assigned immediately.
Bulk grant To grant licences to multiple users at once:

Select users

Use the checkboxes to select multiple students or educators.

Grant licences

Choose the bulk grant action. Licences are assigned to all selected users.
You can add users to Manage School at any time and grant licences later. This is useful when you want to prepare your user list before rolling out access.

Removing licences

You can remove a licence from a user at any time. When you remove a licence:
  • The licence becomes available again in your school’s licence pool
  • The user loses access to upgraded features and returns to the free plan
  • The user remains in Manage School — you can re-grant a licence at any time
Removing a licence does not delete the user’s Exam Insights account.

Licence status

Each licence in Manage School has one of three statuses:
StatusMeaning
AssignedA licence has been granted to a user, but they have not yet signed in or started using upgraded features
UnassignedA purchased licence that has not yet been granted to any user
UsedA licence has been granted and the user has signed in and is actively using upgraded features
Monitor these statuses in Manage School to track how many licences remain available and how many are in active use.

Delaying licence allocation

You do not need to grant licences immediately after adding users. Many schools deliberately delay allocation. Common reasons to wait:
  • Waiting for parental consent — add students now, grant licences once consent forms are returned
  • Waiting until Term 2 — prepare your user list early, roll out access when classes begin
  • Staggered rollout — grant licences year level by year level or department by department
Adding users early lets them create accounts and choose subjects before upgraded access is needed. Grant licences when you are ready for them to use the full platform.

Notifications

Granting a licence does not notify users. Exam Insights does not send emails when a licence is assigned.
Your school decides when and how to inform students and educators that they have access. Common approaches include:
  • Announcing access in class or assembly
  • Sending a school email with sign-in instructions
  • Including Exam Insights in your school’s learning platform or intranet

Educator licences

Educators are included at no extra cost with student licences (within reason). When you grant a student licence, educator access is handled separately — see Manage School FAQs for details on educator licences.
